Booking Terms

Terms & Conditions

These terms govern every journey designed and operated by Hub Patagonia. We keep them short and readable on purpose — we would rather you understand them than sign something you have not read. By paying a deposit you accept the terms set out below, together with the itinerary and invoice we send you.

Confirming your journey

A journey is confirmed when we receive your deposit and the completed registration and medical form. Until then, dates, accommodation and guiding are held provisionally and subject to availability.

A deposit of 30% of the journey value confirms your journey. The balance is due 90 days before departure. If you book within 90 days of departure, the full amount is due at the time of booking.

Tailor-made journeys carry a design deposit of US$300, payable before design work begins. It comes off the price of your journey in full when you travel, and is not refundable if you decide not to travel, as the work has already been done.

We accept payment through PayPal, using a secure payment link we send you once your booking is confirmed. Any processing fee will always be shown to you before you pay.

If you need to cancel

Cancellations must reach us in writing, by email. The date we receive your email is the date we apply.

These windows mirror the terms the estancias and operators apply to us, to the day. We add nothing of our own on top.

The windows below apply to multi-day journeys, both tailor-made and ready-to-book. Single-day programs work on a shorter horizon and each carries its own window, stated on its page: The Rhythm of the Estancia is refunded in full up to 15 days before the date, Horseback with a Gaucho up to 5 days. Inside the final 15 or 5 days there is no refund, and in both cases payment processing fees are deducted.

76+ daysFull refund of everything paid to Hub Patagonia, less the design deposit for work already completed.
45–75 daysWe retain 30% of the journey value.
35–44 daysWe retain 50% of the journey value.
Under 35 daysNo refund is possible — accommodation, guiding, transport and boat crossings are already committed on your behalf.

If we are the ones who cancel — unsafe wind or weather, or any other event of force majeure — you are refunded in full within five business days.

Unused services — a night not slept, an excursion you decide not to join, a delayed flight that shortens your trip — cannot be refunded, either in part or in full. This is what travel insurance is for.

If we need to change something

Patagonia is alive. Weather, water conditions, road access, animal welfare and the decisions of the national parks can all force a change of plan, sometimes on the same day.

When that happens we will offer the closest equivalent we can arrange, and we will tell you honestly what changed and why. Adjustments of this kind are part of traveling here and do not constitute a cancellation by us, nor do they entitle a refund.

If we ever have to cancel a confirmed journey for a reason within our control, you may choose an alternative journey of equivalent value or a full refund of everything paid to Hub Patagonia. In either case our responsibility is limited to the amount you paid us.

Travel insurance — required

Comprehensive travel insurance is a condition of traveling with us, not a suggestion. Your policy must include emergency medical coverage and medical evacuation, with a minimum of US$50,000 for evacuation.

We strongly recommend that it also cover trip cancellation and interruption, delayed or lost baggage, and the activities on your itinerary — riding, hiking, boat travel and remote-area travel.

Buy your policy as soon as your journey is confirmed. Most insurers only cover pre-existing conditions if the policy is purchased within a short window after booking. We will ask for your insurer, policy number and emergency telephone number before departure.

Health, fitness and remote travel

Our journeys take place in remote places where medical facilities are distant and evacuation can take time. You should be in reasonable health for the activities on your itinerary.

Tell us at the time of booking about any medical condition, allergy, dietary requirement, mobility limitation or medication that could affect your journey — and later if something changes. We design around abilities and comfort levels, and we can only do so with the full picture.

We can decline or end participation in a specific activity, or in the journey, where we believe there is a real risk to you or to others. We will always look for an alternative first.

Suppliers and responsibility

We design and coordinate your journey, and we work with a small group of trusted local partners: hotels, estancias, guides, drivers and boat operators. We choose them carefully and we stay close, but they operate their own services under their own terms.

Hub Patagonia is not liable for loss, injury, delay or damage caused by a third-party supplier acting outside our control, nor for events beyond anyone's control: weather, forces of nature, the behavior of wild animals, strikes, road closures, epidemics or government decisions.

You travel accepting the ordinary risks of remote and outdoor travel, and you are responsible for your own belongings throughout.

The land, the animals, the people

Our journeys depend on the goodwill of the families, communities and animals who make them possible. We ask that you follow the guidance of your guide and hosts, respect national park rules, and treat the working animals and the people who care for them accordingly.

Rock art, fossils and archaeological sites are looked at, never touched. Nothing is collected or removed.

We reserve the right to end participation, without refund, in the rare case of conduct that endangers people or animals or repeatedly disregards this guidance.

Photographs

We sometimes photograph journeys and may use those images to show our work. If you would prefer not to appear in them, tell us before departure and we will respect that without question.

Your information and these terms

We use your personal information only to design and operate your journey, and we share it only with the suppliers who need it — a hotel, a guide, an insurer — or where the law requires. We do not sell it, and we do not add you to a mailing list unless you ask us to.

Prices are quoted per person in US dollars and may be affected by taxes, park fees or supplier increases outside our control; we will always tell you before applying any change.

These terms are governed by Chilean law, with jurisdiction in Puerto Natales, Región de Magallanes. We would far rather resolve anything directly with you first — write to us.
